Privacy Policy

1. Overview

This policy explains what NotaFi collects, how it is used, who it is shared with, and the choices you have. NotaFi is a transaction record and document service for direct real property sales.

2. What we collect

Account information: name, email, phone, password (stored hashed), theme and notification preferences.

Sale information you or other participants enter: property details, purchase terms, financing terms, closing details (such as marital status, vesting, occupancy, existing loans, HOA, proceeds method), messages and activity.

Documents you upload: purchase agreements, disclosures, identification, proof of funds, income or credit documents a buyer chooses to share, insurance documents, closing documents.

Records of use: pages visited, actions taken on a sale (the activity log), device and browser information, IP address, and email delivery events.

What we do not collect: bank account or routing numbers, Social Security numbers, or tax identification numbers. Title collects these directly. We do not run credit checks.

3. How we use information

To provide the service: run your sale, generate packages and documents, deliver invitations and notifications, and keep the record. To keep the service secure and reliable. To provide support. To comply with law. We do not sell personal information and we do not use your sale information for advertising.

4. Who we share information with

Other participants on your sale, according to their role: the seller sees what the buyer submits; the buyer sees the terms, the documents shared with them and their own submissions; the title or escrow officer sees the package, closing details and documents for the sale they were invited to. The loan servicer named on a seller-financed sale receives the boarding package. Service providers that host the service, store files, and send email, under contracts that limit their use of the data. Authorities when required by law, and parties in a business transfer such as a merger. We never share your information with advertisers.

5. Retention

Sale records and documents are kept for as long as the sale is active and for seven years after closing or cancellation, because they are part of a real property transaction record. Account information is kept while your account exists. You can ask us to delete information not needed for a transaction record.

6. Security

Data is encrypted in transit and at rest. Documents are stored privately and served through short-lived links. Access is limited by role on each sale. No system is perfectly secure; tell us right away at hello@notafi.tech if you believe your account has been compromised.

7. Your choices and rights

You can view and update your account and most sale information in the product. You can ask us to access, correct, delete, or export your personal information by emailing hello@notafi.tech; we will verify your identity and respond within the time the law requires.

California residents: you have the right to know what personal information we collect and how it is used and shared, to delete it, to correct it, to opt out of sale or sharing (we do not sell or share personal information for cross-context advertising), to limit use of sensitive personal information, and not to be discriminated against for exercising these rights. Categories collected are listed in section 2. You may use an authorized agent.

Texas residents: you have the right to confirm whether we process your personal data, to access, correct, delete and obtain a copy of it, and to opt out of targeted advertising, sale, or profiling (we do none of these). You may appeal a decision by replying to our response.

8. Email

Transactional emails (invitations, notifications, sign-in links) are part of the service. Any marketing email will include an unsubscribe link.

9. Children

NotaFi is not for anyone under 18 and we do not knowingly collect information from children.

10. Changes

We will post updates here with a new date and, for material changes, notify you in the product or by email.
